Everything the school office runs on

One system shared by the office, the teachers and the parents. Here is what each part does.

Fees & accounts

A fee counter that keeps the books for you

Find the student by name or by scanning their card, see every voucher and balance on one screen, take the payment and print the receipt. Vouchers, discounts and late fees follow the rules you set, and the cash book balances by account and by campus.

  • Monthly vouchers for a whole class in one step
  • Family vouchers and automatic sibling discounts
  • Late fees on a schedule, waivable with a record of who waived them
  • Daily collection, cash book and income & expenditure reports

Collect a family at once
Siblings share one family voucher for the month. Paying it settles each child’s voucher, oldest due first.
Dues and defaulters
See who owes what by class, month or family, and send reminders to exactly those parents.
Expenses and other income
Record expenses and non-fee income against categories and accounts, with attachments.
Opening balances and transfers
Move money between accounts and set opening balances so every account reconciles to the bank.

Attendance

The register in a minute, even without signal

Teachers mark attendance on their phone or on the web, by tapping through the class or by scanning student ID cards. A register taken with no connection is kept on the phone and sent when the signal returns. Each teacher sees only the classes on their timetable.

  • Tap-through class lists or QR scanning of ID cards
  • Offline registers that sync themselves
  • Present, absent and leave, per period or per day
  • Monthly summaries by class and by student

A teacher taking the morning register on his phone
Who may take which register
The timetable decides: a teacher marks the classes they teach, while the office can cover for anyone who is absent.
ID cards that take attendance
Student cards carry a QR code the app can scan, so a register can be taken at the gate as children arrive.
Corrections without false alarms
If a late arrival is marked present soon after, the absence alert is withdrawn before it is sent.
Monthly summaries
Attendance by class and by student for any month, ready to print or export.

Exams & results

From marks entry to printed result cards

Set papers with theory and practical splits, enter marks class by class, and percentages, grades, positions and remarks are worked out for you. Result cards print identically for staff and parents, and parents see them only once results are announced.

  • Date sheets and roll number slips
  • Grades and GPA from your own grading scale
  • Class positions, with ties ranked fairly
  • Result cards with marks written in words

Results parents can trust
Parents see a result only after its announcement date, and their card matches the one the school prints.
Roll number slips and date sheets
Generate roll numbers per class and print slips with the full date sheet.
Subject reports
Pass rates, averages and top scorers for each paper.

Parent messages

Parents hear it from the school first

Absence alerts, fee reminders and results go out on WhatsApp from the school’s own number, with SMS as a fallback. Every message is logged with its delivery status, so “did the parent get it?” has an answer.

  • Absence alerts with a correction window before they send
  • Fee reminders that quote the exact balance
  • Announcements to a class, a section or every parent
  • Delivered and read status for each parent

Messages from staff phones
Staff can also send from their own phone’s SMS app, tracked in the same outbox.

Staff & payroll

Staff attendance, leave and payroll that agree

Staff check in by scanning a QR code at the gate that changes every 30 seconds, apply for leave on their phone and download their payslips. Payroll reads the month’s attendance and approved leave, so nobody reconciles three registers at month end.

  • QR or one-tap check-in, with the method recorded
  • Leave types, quotas, approvals and balances
  • Salary structures with allowances and deductions
  • Monthly payroll runs, payslips and payment records

Attendance that feeds payroll
Absences, half days and unpaid leave are deducted by the rules you set, and paid leave never is.
Self-service for staff
Each person sees their own attendance, leave balance and payslips, and nothing of anyone else’s.
A month-end lock
Once payroll is finalised, that month’s attendance and leave can no longer be changed.
Payments recorded
Mark salaries paid from a chosen account, with each slip showing when it was paid.

Transport & more

The rest of the school day, covered

Plan van routes and stops with seat counts and bill the fare on the fee voucher. Run the library, the front desk’s enquiries, visitors and complaints, and design ID cards and certificates once, then print them in bulk.

  • Routes, stops and vans, with fares on the voucher
  • Library catalogue and issue register
  • Student and staff ID cards with QR codes
  • Certificates with a public verification link

Transport on the fee voucher
Riders are billed their stop’s fare automatically, and a move to another route applies from the date you choose.
Seat counts that matter
Each van’s capacity is checked when a student is assigned, so a route is never silently overfilled.
Library
Catalogue books, issue them to students or staff, and see what is overdue.
Front desk
Admission enquiries with follow-ups, a visitor book and a complaints register.

Multi-campus

One account for a group of campuses

Run every campus from one account and limit a login to the campuses it manages. A campus accountant sees that campus’s students, fees and reports and nothing else; the owner sees the whole group.

  • Logins limited to one or more campuses
  • Roles and permissions shaped around real jobs
  • An activity log of who changed what, and when
  • Cash books and reports per campus

Changes apply at once

Group figures for owners
Owners see every campus, and each campus’s cash book reconciles on its own.
Roles you can edit
Start from built-in roles such as accountant or receptionist and adjust what each can do.
An audit trail
Every create, edit and delete is logged with the values before and after.
